Managing User Account Status

🎥 Video Walkthrough: A video guide accompanies this article — watch it here.

Overview

User accounts in ZetaSafe can be either Active or Deactivated. Changing a user's status is straightforward and can be done at any time from the user details screen.

How to Change a User's Status

  1. Navigate to User Management via the Channel or Maintenance menu.

  2. Click on the relevant user account to view its details.

  3. Click Change Status to switch the account between Active and Deactivated.

Effects of Deactivating a User

When a user account is deactivated:

Area

Effect

Login access

The user can no longer log in to any ZetaSafe product using their credentials

Task data entry

The user is removed from the list of available users when entering task data on the website

Watching users

The user can no longer be selected as a watching user on notes

Licence

The user's licence is released and made available for another user

Audit trail

Historical audit trail data is fully preserved

Reactivating a Deactivated User

A deactivated user can be reactivated by clicking Change Status again. However:

⚠️ A deactivated user cannot be reactivated unless there are sufficient available licences. If no licences are available, you will need to either deactivate another user or request additional licences before reactivating.

Things to Keep in Mind

  • Deactivation releases the licence — this makes deactivation a useful tool for managing licence allocation without losing historical user data.

  • Historical data is preserved — deactivating a user does not remove their audit trail or any records associated with their account.

  • Licence availability affects reactivation — always check available licence counts before attempting to reactivate a user to avoid unnecessary delays.
