Handheld Licences Overview
đ„ Video Walkthrough: A video guide accompanies this article â watch it here.
Overview
Handheld licences control how users access ZetaSafe on mobile devices. They can be associated with either a Channel or a Client, and each licence remains active until it is explicitly suspended or deactivated.
Channel vs. Client Licences
Handheld licences can be linked at two levels:
Licence Level | What the User Sees |
Channel | Only the managed clients within that channel, regardless of admin status |
Client | Access scoped to that specific client |
Creating a Handheld Licence
Navigate to the Handheld Licence screen in ZetaSafe.
Click the Add Handheld Licence button.
Configure the licence as required and save.
Best practice: Create licences as needed rather than in bulk. If the client is managed by a channel that uses aggregated licensing, this provides greater flexibility for reallocating unused licences across the channel.
Suspension vs. Deactivation
Once created, a handheld licence is considered active until it is suspended or deactivated. These are two distinct actions with different outcomes:
Suspend | Deactivate | |
Effect | Blocks ZetaSafe access on the device | Completely disconnects the device's unique ID from the system |
Device link | Device remains attached | Device is fully detached |
Reversible? | Yes â can be reactivated | The device can be re-registered under a new client |
Best used for | Temporary access removal; auditing licence usage | Permanently retiring or reassigning a device |
Tip: Use suspension when you need to temporarily restrict access or audit which licences are actively in use. Use deactivation when a device is being permanently reassigned or retired.
Device Sync Information
Each time a handheld device syncs with ZetaSafe, the following details are captured:
The client targeted during the sync
The username of the user performing the sync
The device's operating system type and version
The app version in use
This information is invaluable for troubleshooting and auditing, helping you determine which users are accessing the system on which devices.
Note: No personal data or sensitive database information is recorded during the sync process.
Things to Keep in Mind
Licence scope matters â users with channel-level licences will only see managed clients within that channel, even if they hold admin rights.
Aggregated licensing offers more flexibility â if licences are managed at channel level, unused licences can be reallocated without creating new ones.
Sync data aids support â keeping an eye on sync logs can help identify outdated app versions or unauthorised device access early.
