Viewing and Managing Documents in ZetaSafe

🎥 Video Walkthrough: A video guide accompanies this article — watch it here.

Overview

Documents in ZetaSafe can be viewed and managed from several areas depending on their scope — either channel or client level. From any document list, you can download, edit attributes, or delete documents using the quick action buttons provided.

Where to Access Documents

Channel Documents

Accessible from the Channel Management screen.

Client Documents

Accessible from either:

  • The Client Management screen (includes documents shared from the parent channel)

  • The Document Explorer in the Maintenance menu (displays all documents)

Documents are also accessible from:

  • Locations

  • Assets

  • Result Notes

  • Asset Notes

  • Location Notes

Quick Action Buttons

In all document list views, each document has three action buttons:

Editing Document Attributes

You can edit certain attributes of a document directly in ZetaSafe, such as the title, description, folder, tags, or expiry date. However, the document content itself cannot be edited within ZetaSafe.

To edit the content of a document:

  1. Download the document using the green button.

  2. Open and edit it using the appropriate software (e.g. Word, Excel, OpenOffice).

  3. Re-upload the updated file to ZetaSafe.

If you are replacing an existing document, uploading a new version will overwrite the original, helping to maintain version control. See Replacing a Document in ZetaSafe for more details.

Things to Keep in Mind

⚠️ Documents Widget: When accessing a document via the Documents widget, you will have view access only. Document properties cannot be edited from the widget — navigate to the relevant document list to make changes.

  • Channel vs. client scope matters — ensure you are at the correct level when uploading or managing documents to avoid them appearing in the wrong area.

  • Shared documents from a parent channel are visible in the Client Management screen alongside client-level documents.

  • Deleting a document is permanent — always confirm before using the red delete button.
